REGISTRATION
Complimentary Registration: one (1) speaker per presentation will receive complimentary registration which includes:
- Admittance to all conference sessions
- Breakfasts, luncheons, coffee breaks & networking receptions
- Admittance to the exhibition
Please Note: One co-author or co-presenter may be eligible for a complimentary registration.
HOTEL AND TRAVEL ARRANGEMENTS
All attendees, including speakers, are responsible for making their own travel and hotel arrangements to the Conference. You may make your hotel room reservations by visiting the event website. Click on the “Hotel & Travel” tab for information.
POWERPOINT PRESENTATIONS
The final PowerPoint presentation is due on September 9, 2026, and should be sent to the Senior Conference Manager, Debbi Wells via the following link: https://app.smartsheet.com/b/form/019ff686ab9e7bf28e10038a88960d0b
The conference sessions are closed to the media. Conference proceedings are not published. Your slides will NOT be shared with attendees.
PRESENTATION GUIDELINES
- A mandatory slide template is provided for your use in the Speaker Toolkit.
- Trade or Company name should appear on the title page & contact information page ONLY
- If acronyms are used, provide explanation
- Author information, including contact information, may appear on the last slide of your presentation
- Present directly from YOUR laptop. Remember to bring a HDMI or USB-C connector.
- Provide your session chair with 2 questions you would like to be asked following your presentation
- There is not a mandatory dress code, but suggested attire when presenting is business casual.
PRESENTATION LENGTHS AND TIMINGS
Presenters will be given a total of 45 minutes; ~30 minutes for presentations and 10 minutes for Q&A. This includes time for the session chair to introduce you. Following each presentation, the session chair will moderate the question and-answer period. Please keep your presentation within the allocated time. If you are unable to conclude your presentation before the time expires, a graceful conclusion is to tell your audience that you will be available after the session to continue. Session chairs have the right to cut short any presentations which run over by an unacceptable degree.
AUDIOVISUAL EQUIPMENT
The conference room will be equipped with the following audiovisual equipment:
- LCD projector
- Screen (screen ratio is 16:9)
- Lapel microphone
- Laser pointer
- Slide advancer
DELIVERING YOUR PRESENTATION
- Organize your thoughts by preparing note cards to keep yourself on track
- Rehearse to be sure that you have enough time to cover all your material and allow time for interaction with your audience.
- Practice speaking loudly, clearly and slowly enough to be understood. Repeat important points.
- Develop at a natural pace so that you exude comfort and confidence
- Arrive early to check the equipment. Start on time and end on time.
- Have a strong opening and strong closing
- Make eye contact with the audience. Avoid looking at the floor, back wall, or ceiling. Remember to look for indications of interest from the audience, a raised hand or a change in facial or body expression.
- Use audiovisuals to reinforce ideas and to accommodate different learning speeds and language barriers
- Refer to case studies, research, and other facts to validate information. Minimize the use of theory.
- Summarize at the end of the presentation and close with a memorable idea that leaves the attendee with a positive impression
ONSITE CHECKLIST
- Remember your laptop and connector with your presentation and your speaker notes
- Pick up your speaker badge from the conference registration desk
- Visit the conference room prior to your session and meet an audio/visual tech to show you how to use the audiovisual equipment
